Bishop's Cup - Volunteers, Donations and Logistics Information

The Bishop's Cup is 3 days away!  Here's a rundown of the last-minute needs and information for volunteers.  

1) We're asking every team family to to provide wrapped dessert items (e.g., cookies, brownies, rice crispy treats, etc.) to be used by the tournament hospitality tent.  Items are to be brought to Mrs. Mays' room by Friday at 9:30am.

2) We need your spare shade canopies!  It's looking like good weather for this weekend's tournament, but we need shade to keep players, officials, and workers cool and out of the constant sun.  If you have a spare canopy, then please affix your name to the canopy AND bag and deliver it to school no later than Thursday afternoon.

3) We're in desperate need of the following items for concessions this weekend:
  • candy
  • suckers
  • candy bars
  • granola bars
  • chips
  • gatorade/powerade
  • canned soft drinks (clear, cola, regular and diet)
Anything not used during the tournament this weekend will be used to help keep our concessions going through the end of the season.  We still have 8 home games on he boys and girls schedule after Bishop's Cup, so all concession donations will go to good use!

3) Friday (9/14) Volunteer Logistics - we'll need volunteers to work in 2 hour shifts
  • 10AM - 2PM - volunteers work at the Kennedy Center to setup canopies, concessions, hospitality area, bench areas, signage etc. Staff concessions, parking, gate collections, program sales
  • 2PM - 6PM - keep hydration stations stocked, collect at the gate, park cars, concession sales, runners for team and referee needs
  • 6PM - 8PM - Tear down.  The entire venue must be taken down and stored overnight.
4) Saturday (9/15)
  • 10AM - 12PM - setup the venue, just like the previous day.  Staff concessions, parking, gate collections, program sales
  • 12PM - 4PM -  keep hydration stations stocked, collect at the gate, park cars, concession sales, runners for team and referee needs
  •  4PM - 6PM - tear down and cleanup, return tables, chairs, and all equipment.  Packup concessions.  Cleanup the fields, remove trash and signage.
Contact Pam Mays to specify the times that you can volunteer during the tournament.
Remember - we're hosting the event and only get to do so every four years.  The last time that we hosted was in 2008 to rave reviews by all who attended.  Please help pitch in to make Bishop's Cup 2012 the best one yet!
